The information we collect about you
We collect personal information about our enquirers and customers to provide personalised, specialist guidance on your fee status case and/or university options, applications, and admissions.
For fee status guidance we collect:
- Student’s date of birth, place of birth and nationality/ies.
- Student’s education and qualification details.
- Parental contact details and nationality/ies.
- Family’s property and residence history.
- Family’s connections with the UK/EU and travel pattern.
- Family’s immigration information.
- Parental employment details.
- Other, as appropriate.
For university application guidance
- Student’s education and qualification details.
- Student’s personal interests, goals, and strengths.
- Student’s disabilities or pastoral needs.
- Other, as appropriate.
How we collect your information
The personal information we process is provided to us directly by you in our online form, via email correspondence or verbally in telephone or video conference meetings. Note: We do not need to see personal documents such as passports, employment contracts, bank accounts etc so we ask you not to send these to us.
Who uses your information
UK Study Options team members will use your information to provide you with a service. UK Study Options colleagues may use your data to complete administrative tasks. We will never share your information with a third party without your express permission.
How we store your information
Your information is securely stored on our shared drive and within cloud storage of the systems, programmes, or apps that we use to provide our service to you. Occasionally a temporary copy of your information may be downloaded to our work laptops at the time of advising you.
How long we keep your information for
For fee status guidance:
We keep your information on file for three academic years after the student’s entry date to university, so we are able to advise you on your fee status case should you need to come back to us. We will then dispose of your information by deleting it from our shared drive and any copies on our work laptops in keeping with the Information Commissioner’s Office (ICO) and GDPR UK guidelines. Should you wish us to dispose of your information before this time, please let us know in writing and we will confirm that it has been destroyed.*
For university application guidance
We keep your information on file for two academic years after the student’s entry date to university, so we are able to provide guidance up to that point, if required. We will then dispose of your information by deleting it from our shared drive and any copies on our work laptops in keeping with the ICO and GDPR UK guidelines. Should you wish us to dispose of your information before this time, please let us know in writing and we will confirm that it has been destroyed.*
*Please note, if you require any guidance from us after we have destroyed your information, we will require you to provide the information to us again so that our advice to you will be accurate.
